Recommended data storage at JU for staff

For specific cases, storage on NAS or with partner companies is also recommended. Read more below about the different storage options and what qualifies as sensitive data.

OneDrive
Suitable for: Personal data that is not classified as sensitive data
Storage location: Encrypted cloud storage at Microsoft
Account requirements: JU account
Authorization assignment: Automatically via Micorsoft
Off-campus access: Via internet connection
Storage volume: 1 TB
Recovery: Version management or backup restore
Home directory (Personal JU Files)
Suitable for: Personal data that may be classified as sensitive data
Storage location: Local storage at JU
Account requirements: JU account
Permission assignment: Automatic for student and staff accounts
Off-campus access: Via VPN connection to JU's network
Storage volume: 50 GB that can be expanded if needed
Restoration: Backup with at least one year of restore capability
Microsoft Teams
Suitable for: Shared data for a group of users where current data is not classified as sensitive data
Storage location: Encrypted cloud storage at Microsoft
Account requirements: JU account and invited guests
Permission assignment: Create yourself or be invited by owner
Off-campus access: Via internet connection
Storage volume: 25 GB per team
Recovery: Version management or backup restore
Common Staff Public
Suitable for: Common data at company or department level where current data is not classified as sensitive data
Storage location: Local storage at JU
Account requirements: JU account
Authorization assignment: Automatically linked to company and department affiliation
Off-campus access: Via VPN connection to JU's network
Restoration: Backup with at least one year's restore capability
Common Staff Restricted
Suitable for: Common data for a group of users where data may be classified as sensitive data
Storage location: Local storage at JU
Account requirements: JU account
Permission assignment: Via order to IT Helpdesk External link, opens in new window. by owner/member in folder
Off-campus access: Via VPN connection to JU's network
Restoration: Backup with at least one year of read-back capability
JU Sharefile (JUReShare)
Suitable for: Shared data for ongoing research projects where data may be classified as sensitive data. Also suitable for collaboration with external parties.
Storage location: Local encrypted storage at JU with access control to folders via delegated administration
Account requirements: JU account and invited guests
Authorization assignment : Via order to IT Helpdesk for people with JU account, invitation via owner of the storage space
Access outside campus: Via internet connection
Storage volume: 1 TB that can be expanded if necessary
Restoration: Version management and with at least one year of read-back capability
Other info: When a research project ends, research documents must be archived, digital documents are transferred from JU Sharefile to JU's e-archive
Specific needs
NAS: Storage of large volumes of data locally at JU with lower performance and slightly lower reliability
Company: In case of specific security requirements, storage at the collaborating company that sets these requirements is recommended

Sensitive data
Information subject to secrecy provisions of the Public Access to Information and Secrecy Act or breaches of the law and sensitive personal data subject to the provisions of the General Data Protection Regulation.

Sensitive personal data (examples)
Sensitive personal data are those that reveal ethnicity, political opinions, religious or philosophical beliefs, trade union membership and personal data concerning health or sexual preference. Health-related data may relate to sick leave, pregnancy or medical appointments.
Breaches of the law (examples)
Personal data relating to breaches of the law, including criminal offenses, criminal convictions, coercive mesures or administrative deprivation of liberty.
